The personal data we collect
- Order and account data: your name, delivery and billing address, email address, phone number, company name, order history and account login details.
- Payment data: payment method type and transaction status. Full card details are processed by our payment providers and are not stored by us.
- Communications: messages you send us by email, phone or our contact form, including quotation requests.
- Technical and usage data: IP address, browser and device type, pages viewed and how you reached our website, collected through cookies and similar technologies as described in our Cookie Policy.
- Marketing preferences: whether you have opted in to receive emails from us.

Who we share your data with
- Shopify, which hosts our online store and checkout.
- Payment providers that process card and wallet payments, including Shopify Payments, Apple Pay, Google Pay and Shop Pay.
- Couriers and pallet networks that deliver your order, which receive your name, address and phone number.
- Google, for website analytics and advertising measurement where you have consented.
- Our accountants, professional advisers, and authorities such as HMRC where required by law.
We do not sell your personal data.
International transfers
Some of our service providers, including Shopify and Google, may process data outside the UK. Where this happens, transfers are protected by UK adequacy regulations or by the International Data Transfer Agreement or Addendum approved by the UK Information Commissioner.
How long we keep your data
We keep order and invoice records for 6 years from the end of the financial year in which the order was placed, to meet UK tax and accounting requirements. Enquiry records are kept for up to 2 years. Marketing data is kept until you unsubscribe. Account data is kept until you ask us to close your account.
Your rights
Under UK data protection law you have the right to access your personal data, have inaccurate data corrected, have your data erased, restrict or object to processing, receive your data in a portable format, and withdraw consent at any time. To exercise any of these rights, email sales@grassmatsco.co.uk. We respond within one month.
You can unsubscribe from marketing emails at any time using the link in any email we send.
Complaints
If you are unhappy with how we handle your data, please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
Security
Our website and checkout use SSL/TLS encryption. Access to customer data is limited to staff who need it to fulfil orders and provide support.
